JOB DESCRIPTION - Parish Administrator

Christ Episcopal Church Needham seeks a Parish Administrator.

POSITION SUMMARY

As the first point of contact for the church, the Parish Administrator is the “face of hospitality” for the congregation. Working closely with and under the supervision of the Rector, the Parish Administrator provides administrative and secretarial services for Christ Church Needham and the Volunteer Ministries of the Parish. Specifically, duties include supervising or performing office functions, managing the membership database, producing weekly and other service bulletins, performing certain building management duties for the facility, and coordinating volunteers. Independent judgment is required to plan, prioritize, and organize a diversified workload in a unique environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Office Support

  • Answer telephone and refer calls or other inquiries to ensure accurate and timely communications. Sort and distribute mail and determine level of priority.
  • Maintain an environment that promotes efficiency by ensuring that files are kept up to date and papers and files are clearly marked. Manage the membership database and other parish records.
  • Maintain and monitor office supplies, equipment and other materials.
  • Act as point of contact for matters involving computer hardware, software, and other technology issues, determining the best use of outside consultants and internal expertise.

Parish Planning and Communications

  • Facilitate the timely maintenance of Church and clergy calendars.
  • Work closely with the Facilities Manager to coordinate building usage among parish and outside groups and ensure the upkeep and maintenance of the Church buildings and grounds.
  • Work with program staff and clergy to produce weekly and special service bulletins, including in-house photocopying.
  • Assist in the production and mailing of the monthly newsletter, weekly e-mail newsletter and other parish publications and communications.
  • In conjunction with volunteer website managers, maintain the church website as a vital link between the parish and the community.

Problem Solving

  • Consistently evaluate work and determine if further steps may be needed to meet expectations. Take initiative to revise inadequate or incomplete work, even if performed by others.

Productivity/Efficiency

  • Minimize non-productive time and fill slow periods with activities that will meet the future needs of the church. Organize job functions and work area to enable effective completion of varied assignments within established time frames.

Other

  • Perform other duties as assigned by the Rector, Professional Staff and Wardens.

KNOWLEDGE, SKILLS & ABILITIES

  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
  • Must have knowledge and proficiency in MSWord, Publisher, Outlook and Excel; knowledge of Automated Church Software (ACS) and website management a plus.
  • Must pay close attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Have demonstrated ability to juggle multiple competing tasks and demands.
  • Must consistently demonstrate the ability to respond to changing situations in a flexible manner in order to meet current needs.
  • College degree or equivalent training; three or more years of experience.
  • Previous experience with church administration is not necessary, but is a plus.

WORKING SCHEDULE

Part time position of 30 to 35 hours/week.
